This deliverable consists of the preparation of four progress reports which are delivered every 8 months, at key moments of the project (M8, M16, M24, M32).
The project progress reports reflect ongoing monitoring of project progress, including activities carried out, milestones reached, use of human and financial resources, and are drawn up in collaboration with all partners who provide comments and feedback on the implementation of project activities, thus ensuring transparency and external quality control (D6.1).
In parallel, the deliverable also includes the organization of regular consortium coordination meetings. This includes a kick-off meeting in Belgium (month 1) and five coordination meetings in all participating countries (months 7, 14, 21, 27, 33), as well as regular virtual meetings, using online conferencing tools, to facilitate international exchanges (D6.2).
The project coordinator is responsible for setting the agenda for each meeting, in collaboration with all partners, and meeting minutes are distributed within 10 working days of each event. The approval process consists of considering the minutes as approved if no objections are raised within 5 working days of distribution (D6.3).
The information gathered in these progress reports will serve as a reference for corrective actions and improvements to the action plan, and will also be used for drafting the project’s interim and final progress reports. In addition, this deliverable provides for the production of two specific reports, at M18 and M36. The interim report will present interim results at the mid-point of the project implementation period, highlighting milestones reached, deliverables and results achieved to date.
The final report reflects the full results of the project, including all deliverables, management, dissemination and operational activities, as well as improvement measures arising from the quality assurance plan. Finally, it also includes the project’s financial audits, including an independent external audit report type II to M36, covering the costs claimed by the partners, in accordance with the legal and financial provisions of the grant agreement and Erasmus+ terms and conditions (D6.4).
